Terms & Conditions
By booking an event with us, you are
agreeing to the following terms:
1. YOUR CONSUMER RIGHTS
If you are booking as an individual (not a business), you have additional rights to the terms outlined in this document:
• 14-day cancellation: You can cancel within 14 days of booking for a full refund (unless your retreat starts within 14 days and you've agreed to this)
• Quality guarantee: We must provide our services with reasonable care and skill
• Full refund if we cancel: You get everything back if we cancel for reasons within our control
These consumer rights are in addition to our standard terms below.
2. BOOKINGS AND PAYMENTS
2.1. Booking Process: Your booking is confirmed when we receive your deposit and send written confirmation.
2.2. Payment Schedule:
• Deposit: 30% non-refundable deposit at booking (amount will be specified in booking form)
• Final Payment: Due 120 days before your retreat starts
• Late Payment: 5% fee may apply if payments are overdue
2.3. What's Included: Unless stated otherwise, prices include accommodation and standard site facilities. Travel, insurance, and optional extras are excluded.
3. CANCELLATIONS
By You:
• More than 120 days before: Full refund less non-refundable deposit (i.e. 15%) and any reasonable costs incurred by us
• 120 days or less: No refund (except for consumers exercising 14-day rights, as stated in item 1)
• Government restrictions: 50% refund if your retreat becomes illegal due to government restrictions (therefore we and you share the impact 50:50)
By Us:
• Our fault: Full refund (limited to the amount of money you have paid us)
• Force majeure: Alternative dates offered or full refund minus non-refundable deposit
Force majeure: means events beyond our control like natural disasters, government restrictions, or health emergencies.
4. YOUR RESPONSIBILITIES
4.1. Health & Safety:
• Ensure you and your guests can safely participate in planned activities
• Get appropriate event insurance
• Tell us about any health issues or special needs of your guests before arrival
4.2. Conduct:
• Follow our reasonable house rules
• Respect other guests, staff, and the property
• No illegal activities, excessive noise after 10:30pm, or smoking or vaping in any of our facilities, including accommodation (smoking is permitted outside only)
4.3. Damage:You are responsible for any damage caused by you or your guests - we'll charge reasonable repair/cleaning costs. A £500 damage holding deposit is required for the event. In cases where damage/cleaning costs exceed this holding deposit, you will still be liable and expected to pay within 14 days of notification of these costs. Where there are no costs, the deposit will be refunded to you within 14 days of your departure.
5. OUR RESPONSIBILITIES
5.1. What We Provide:
• Safe, clean accommodation and facilities
• Services delivered with reasonable care and skill
• Qualified staff for organised activities
5.2. What We Cannot Control:
• Weather conditions
• Normal site activities and associated noise/smells
• External noises/activities (neighbours, farming activity, wildlife, traffic, etc.)
• Actions of third-party suppliers you engage
• Yours / your guests’ personal belongings (please obtain suitable insurance and encourage your guests to do the same)
6. LIABILITY
We cannot exclude liability for:
• Death or injury caused by our negligence
• Fraud
• Your statutory consumer rights
Our liability is limited to:
• The amount you paid for your booking
• We're not liable for indirect losses like lost profits
You are responsible for:
• Your own and your guests’ safety and decisions during the retreat
• Getting adequate insurance
• Any damage / impact / losses caused by third parties and your guests
7. PRACTICAL INFORMATION
7.1. Check-in/out for weekend event organiser/host: After 11am on first day, depart by 5pm on final day (unless agreed otherwise)
7.2. Check-in/out for weekend event guests: After 2pm on first day, depart by 4pm on final day (unless agreed otherwise)
7.3. Check-in/out for 1-day event organiser/host: After 9am, depart by 5:30pm (unless agreed otherwise)
7.4. Check-in/out for 1-day event guests: After 9:30am, depart by 5pm (unless agreed otherwise)
7.5. Special Requirements: Where necessary, you must tell us about dietary needs, allergies, or accessibility requirements at least 2 weeks prior to event
7.6. Changes: We may need to make reasonable changes to arrangements - we'll notify you as soon as possible
7.7. No WiFi: Internet access is not provided – you will need to arrange your own, if required
7.8. Eco-Policy: All waste must be handled / recycled appropriately using the correct bins
8. COMPLAINTS
8.1. During Your Stay: Speak to our staff immediately so we can fix any problems
8.2. After Your Visit: Email us within 28 days - we'll investigate and respond within 28 days
8.3. Still Not Happy?: Consumers can use Alternative Dispute Resolution services or contact Trading Standards
9. DATA PROTECTION

10. GENERAL TERMS
10.1. Governing Law: These terms are governed by English law
10.2. Changes: We may update these terms - new versions will apply to future bookings
10.3. Transfer: You can transfer your booking to another person with our reasonable consent
10.4. Entire Agreement: These terms, your booking confirmation, and our Privacy Notice make up the complete agreement
